How to Remove a Page Break in Word 2010

A page break in Microsoft Word 2010 is an indicator to the program that you want to start a new page. There are actually two kinds of page breaks, however. One kind is the page break that you insert manually, in a place before the physical end of the page. The other kind of page break is the one that Word includes automatically when you have reached the end of a page and need to move to the next one to continue adding information. You can learn how to remove a page break in Word 2010 that you have added manually, but you cannot remove an automatic page break that Word has inserted. This ability comes in handy when you have added a page break, but come to discover later that you need to add additional information to the page, or that the page break is no longer needed.

Deleting a Manually Inserted Page Break in Word 2010

The problem that most people have when they are attempting to remove a Word 2010 page break is simply locating where the page break has been inserted. This is difficult to do in the normal Word 2010 view, so you need to enable an option that will provide you with some more detail about your document’s formatting.

Step 1: Open the document that contains the page break you want to delete.

Step 2: Navigate to the page in the document that contains the page break. This is going to be the partially full page, not the page that starts after the page break.

Step 3: Click the Home tab at the top of the window.

Step 4: Click the Show/Hide button in the Paragraph section of the ribbon at the top of the window.

Step 5: Use your mouse to highlight the Page Break object, or click in the margin to the left of the Page Break object.

Step 6: Press the Backspace or Delete key on your keyboard. The information that had previously been pushed to the next page should now be back on the current page.

You can also click the Show/Hide button again to stop displaying the formatting information on the page, as some people find it to be distracting or confusing.

How To Remove Page Breaks in Word

Microsoft Word is the venerable yet still incredibly powerful word processing software that is more or less the standard for Windows document creation. One of the features of Microsoft Word is “page breaks”, instructions within a document that tell a printer or a PDF conversion that the document should start a new page at a particular point. Whenever the printer encounters a page break, it will print a new page. MS Word documents can include both automatic and manual page breaks. Sometimes a document can accumulate a large number of unnecessary page breaks, often as a result of converting a document from another format. In this article, I will show you several ways in which you can remove page breaks in Microsoft Word.

Manually Delete Page Breaks

The simplest way, and the way that most Word users most frequently employ, to eliminate page breaks is just to manually delete them. You can put the cursor on a page break directly and use the Del key on the keyboard, or select an area of the document containing one or more page breaks and use the Del key, or right-click on the document and select Cut. In order to see exactly where page breaks are located, press the Show/Hide button on Word’s Home tab. (It’s the button in the Paragraph pane that looks like a fancy backwards “P”.) That reveals all the manually inserted page breaks within a document as shown in the snapshot directly below.

Then click the margin beside a page break’s dotted line to select one break. Alternatively, you can select multiple page breaks in a document by dragging the cursor over them. Press the Del key to erase the page breaks from the document.

Remove Page Breaks with the Find and Replace Tool

It might take quite a while to manually delete lots of page breaks from a long document. Find and Replace is a handy Word tool that enables users to find and replace text within a document. You can also utilize that tool to quickly find and delete all manually inserted page breaks.

To open the Find and Replace window, click the Home tab. Click the Replace option on the Home tab to open Find and Replace. Alternatively, press Ctrl + H to open it.

Press the More >> button to expand the options on the window. Then click the Replace tab, which includes Find what and Replace with fields. Enter ‘^m’ in the Find what field, and press the Replace All button. That will erase all the manual page breaks.

Remove Page Breaks with a Macro

MS Word includes a macro tool with which you can record a sequence of selected options. Alternatively, you can set up macros by entering Visual Basic code in the Module windows. You can create a macro that removes all page breaks, save it, and be able to access it again anytime you need it without having to mess around in menus.

To set up a new macro, press the F11 key to open Word’s Visual Basic Editor. Then click the Insert tab and select Module to open a Module window. Select the VBA code below and press Ctrl + C to copy it.

Press Ctrl + V to paste the above VBA code in the Module window. Then you can click the Run button to play the macro. The macro will delete the manually inserted page breaks in the document.

Adjust the Line and Page Breaks Settings

You can’t delete automatically inserted page breaks. However, you can adjust Word’s pagination settings to reduce the number of automatic page breaks. First, highlight a few passages or lines in a Word document with the cursor. Select the Home tab, and then click the expanded options icon to open the window in the snapshot directly below.

Now click the Line and Page Break tab to open the options shown directly below. There you can select a Keep with next option to eliminate page breaks between the selected paragraphs. Alternatively, click Keep lines together to ensure there are no page breaks in the middle of passages. Don’t select the Page break before option, that adds breaks to documents. Click the OK button to apply the new settings.

Fix Page Breaks that aren’t Deleting

Are there any manual breaks in your Word documents that you still can’t delete? If so, it might be the case that Track Changes is on. Track Changes highlights adjustments made to a Word document. However, you can’t erase page breaks with Track Changes on. To switch Track Changes off, click the Review tab. Press the Track Changes button if it’s illuminated. Alternatively, you can press the Ctrl + Shift + E hotkey to switch Track Changes on or off. Thereafter, press the Next button to go through proposed adjustments for the document. Then you can delete the manually inserted page breaks.

Removing manual page breaks from documents can save paper by reducing the amount of blank space left on printed output, so it’s worth checking if your Word documents include superfluous page breaks. If they do, you can quickly erase them with Word’s Find and Replace tool or a VBA macro. The Kutools for Word add-on also includes a handy Remove All Breaks option.

R Markdown: How to insert page breaks in a MS Word document

RStudio offers the opportunity to build MS Word documents from R Markdown files (.Rmd). However, since formatting options in Markdown are very limited, there is no ‘native’ Markdown code to insert page breaks in the final MS Word output file.

In this blog post I explain, how to define page breaks in the RMarkdown document that will be kept in the final MS Word document (.docx). My post is based on Richard Layton’s article Happy collaboration with Rmd to docx which explains how to create a MS Word .docx template in order to modify the document design of a MS Word file created from a .Rmd-file in RStudio.

The MS Word template

In the first step, we create a MS Word template called ‘mystyles.docx’ (How to). This file must be saved in the same directory as the R Markdown file. For the following modifications we have to open this file with MS Word or a similar application. Since I don’t have an English version of MS Word, I will be using WPS Writer for Linux in this blog post.

Modify style ‘Heading 5’

In the next step, we modify a predefined style. However, after modifying a predefined style, we cannot use it anymore in the originally intended way. Thus, we must choose a style hardly needed for any other purpose. In this blog post, we use the Heading 5 style.

To modify this style, we select the ‘Home‘ ribbon tab and click the Styles window launcher in the Styles group (lower right corner, highlighted with red circle).

We select ‘Heading 5’ in the Word document. In the Styles window, we scroll down until we find the style already assigned to the text we selected. In our case, the assigned style is ‘Heading 5’.

The following modifications must be made in the Modify Style menu:

  • Set the font color to ‘white’ (rather than ‘Automatic’).
  • Select the smallest font size (8 rather than 11).
  • Select ‘Page break before’ in the ‘Line and Page Breaks’ tab.

  • Set the line spacing to ‘Exactly’ and ‘1 pt’ in the ‘Indents and Spacing’ tab.

After these tweaks, the ‘Heading 5’ style will no longer format a heading of level 5. Instead it will insert a very small and white (and, thus, invisible) line followed by a page break.

The RMarkdown document

In the RMarkdown document, a few specifications must be made.

The YAML header

RMarkdown documents contain a metadata section called YAML header. In this header, we specify the output format (word_document) and the name of the MS Word template (mystyles.docx).

The Markdown code ##### being originally reserved to format header 5 will be used to insert page breaks in the final .docx document. Since we modified the font color to ‘white’ in the MS Word template, the specification after the Markdown code ( Page Break ) will not appear in the final document.

The following example shows how to flag a page break between two paragraphs in a .Rmd file.
